DESCRIPTION OF THE ROLE
The European Network of Research and Innovation Centres and Hubs (ENRICH), Brazil is a Non-Profit Association located in São Paulo. Administrative & Financial Officer (Contrato como PJ)
The Position will be based in São Paulo, but due to the pandemic period the person will be working on home office. The role holder should be the central point of contact for administrative and financial activities that secure the operations of ENRICH in Brazil.
Also, this person should be flexible in working approach and be available to work outside normal office hours when required.
The expected working hours per week comprises 20h/week, 80h/month. Fixed-term contract until December 2021, with the possibility of extension for more 2 years.
Main duties and responsibilities
- Execute all the operational activities which will guarantee the well-functioning of ENRICH in Brazil, with a focus on administrative tasks, financial administration, legal aspects management, operational and logistics processes.
- Provide support for the members, supporters, and sponsors of the association, including administrative, financial and compliance procedures.
- Responsible for the formal record of all processes, including membership registration and exclusion, executive board, financial board, advisory board and assembly meetings (call notice and minutes), with the support of the external legal advisor, when needed.
- Responsible for purchasing, suppliers and partnership documentation and contract processes, with the support of the external legal advisor, when needed.
- Financial management tasks: treasury, accounts receivable and accounts payable management, bank relationship.
- Evaluate and decide on investments.
- Supervise the external Accountability firm.
- Allocate resources and manage cash flow.
- Conduct profit and cost analyses.
- Forecast monthly, quarterly and annual results according to the approved budget.
- Create presentations and executive reports.
- Maintain contact lists (members, partners, suppliers, board members, etc) and proactively update databases (CRM and others)
- Organize events, such as seminars and international meetings
- Produce, distribute, and manage correspondence memos, letters/e-mail communication
- Provide information by answering questions and requests, by phone and online systems
- Carry out administrative duties such as filing, typing, copying, binding, scanning etc
- Write letters and emails on behalf of other office staff
- Organize travel arrangements for office staff and partners
- Book conference calls, rooms, taxis, couriers, hotels etc.
- Cover the reception desk when required
- Take accurate minutes of meetings and produce reports when required.
SKILLS AND ATTRIBUTES
The ideal candidate will:
• Have language skills: English, Spanish and Portuguese is prerequisite
• Have previous experience in a similar corporate role and can prove excellent communication skills
• Have considerable experience working within the Innovation Ecosystem in Brazil, Latin America and the Caribbean and/or Europe or, ideally, within both
• Demonstrate a professional approach in terms of commitment and client care
• Have excellent interpersonal skills with the ability to deal with intercultural situations
• Be IT literate – knowledge of MS Office and Google Drive is essential; experience of using CRM systems, databases would be beneficial
• Have previous experience with associations or members-based network
CONDITIONS
• Service contract by ANPEI (São Paulo, Brazil)
• 20h/week – 80h/month
• Fixed-term contract until end of 2021 (extension possible)
• Earliest possible entrance date: 5th Feb 2021
• Monthly fee: depending on experience, expertise and educational background
• ENRICH in Brazil Office is in São Paulo
